About the role
Your Responsibilities
- Calendar & Scheduling: Manage appointments and meetings for Executive Office members to keep their schedule running on time and without gaps.
- Travel Coordination: Handle flight and hotel bookings, visa documentation, itinerary preparation, and expense claim processing for international travel.
- Meeting & Visitor Logistics: Prepare meeting rooms, arrange catering, and ensure professional reception of guests and visiting management teams.
- Office Errands: Run practical day-to-day tasks including picking up deliveries, ordering and collecting lunch, and dropping off packages at the post station.
- Communication Support: Handle routine correspondence and coordination with internal teams and external contacts on behalf of the Executive Office.
Essential Skills
- Background: Completed vocational training in office management, team assistance, hospitality, or a comparable hands-on support field.
- Experience: 1-2 years in an office assistant, team assistant, administrative or hospitality role.
- Organizational: Ability to manage multiple concurrent tasks reliably and accurately, including physical and logistical errands alongside desk-based coordination work.
- Language Skills: Fluent in German and English, written and spoken.
- Driving License: Valid driving license for occasional operational support needs.
Beneficial Skills
- SAP Knowledge: Familiarity with SAP or comparable enterprise systems.
